A tenancy file carries the name and contact details of the occupier, the referencing and right-to-rent material gathered before the grant, the executed agreement and its counterpart, the inventory where one was taken, the deposit protection reference issued by the scheme holding the money, the payment history recorded against the unit, and the correspondence exchanged during the term; a maintenance record carries the reported description of a fault, the unit it concerns, the appointment offered and the contractor's completion evidence, so a repair can be traced from the report to its close-off.

A person whose records the office holds may ask for a copy of them, ask for an inaccurate entry to be corrected, ask for erasure or for the use of a record to be restricted where the law allows it, object to a use that rests on the legitimate interest above, or ask for the details supplied under a tenancy in a portable form; a request sent to the correspondence address is acknowledged and answered within the statutory month, and a person who remains dissatisfied with the answer may take the matter to the Information Commissioner's Office, which supervises the company on this subject.
